For Vendors

A great fundraiser does two things at once: it gives guests an unforgettable experience and it moves them to give. Whether you are planning a black-tie charity gala in Houston, a ladies’ luncheon or a spring tea party, the same principles apply. Here is how we approach fundraiser event planning at Épris Events.
1. Set a Clear Fundraising Goal
Decide how the event will raise money: ticket sales, sponsorships, a live or silent auction, a paddle raise, or a combination. Your goal determines the guest count, ticket price, program length and even the seating plan.
2. Build Your Sponsorship Packages Early
Sponsors often fund the event itself, so more of every ticket goes to the cause. Offer tiered packages with clear benefits: recognition in the program, reserved tables, signage and social media mentions.

3. Choose a Concept Guests Will Talk About
A strong visual concept turns a standard ballroom dinner into an experience. For a recent tea party fundraiser at the Junior League of Houston, we built the entire room around blue-and-white porcelain, from chinoiserie linens to delphinium and hydrangea. A cohesive concept makes the event photograph beautifully, and those photos keep promoting your cause long after the night ends.

4. Plan the Program Like a Show
- Keep speeches short and purposeful, ideally under five minutes each.
- Share one powerful story about the people your cause serves.
- Place the ask at the emotional high point of the evening.
- Schedule entertainment or a performance to reset the room’s energy.
- Rehearse cues with AV, the emcee and the auctioneer.
5. Design the Guest Journey
From arrival to departure, every moment matters: a warm welcome, a signature drink, clear signage, comfortable seating, a smooth check-out for auction winners and a thoughtful parting gift. Guests who feel cared for are more generous, and more likely to return next year.

6. Follow Up Within 48 Hours
Send thank-you messages with the total raised, a few photos and a note about the impact. It is the first step toward next year’s success.
Working with a Fundraiser Event Planner
Nonprofit committees are often volunteers with full-time jobs. A professional gala planner in Houston manages vendors, budgets, timelines and the event-day run of show, so the committee can focus on donors and guests. Épris Events plans galas, luncheons and fundraisers in Houston, Austin, Dallas and San Antonio.
